KAMI for Mac is a lightweight application dedicated to PDF document annotation, markup, and collaboration. With its clean and intuitive interface and smooth annotation experience, it has become an efficient tool for handling PDF files on the Mac system. This article will provide a detailed introduction to its usage and tips, from the core interface breakdown to the complete workflow.
I. Detailed Breakdown of the Core Interface and Workspace
KAMI’s interface design follows the principle of minimalism and is mainly divided into the following core areas:
- Top Toolbar: Located at the very top of the window, it consolidates all core operation buttons. From left to right, it typically includes: file operations (open, save), view zoom, page navigation, annotation tools (highlight, underline, text comments, shape drawing, etc.), a toggle for showing the annotations list, and share/export buttons.
- Left Sidebar: Hidden by default, it can be brought up by clicking the corresponding icon in the toolbar or using a keyboard shortcut. It contains two main panels:
- Thumbnail Panel: Displays thumbnails of all PDF pages in a grid format, used for quick jumping and page previewing.
- Annotations List Panel: Displays all comments, highlights, and text markups added to the document in a centralized view. Clicking a list item takes you directly to the corresponding location, making it easy to manage and review.
- Central Document Viewing Area: The core area of the application, used for displaying and working with PDF documents. Supports smooth scrolling and zooming.
- Right-Side Properties/Tools Panel: When you select a specific markup tool or select an existing annotation, this panel appears for adjusting properties such as color, line thickness, font, opacity, and more.
II. Complete Workflow: From Opening to Exporting
The following is the standard workflow from launching the software to completing annotations and exporting the document.
1. Create/Open a Project (Document)
Method 1: Via the Menu Bar
Click File > Open... in the menu bar at the top of the screen, or use the shortcut Command + O, then select the target PDF file in the Finder window.
Method 2: Via Drag and Drop
Simply drag a PDF file from Finder onto the KAMI app icon in the Dock, or drag it into the central document viewing area of an open window.
Method 3: Open Recent Files
Click File > Open Recent in the menu bar to select a recently edited document from the list.
2. Browsing and Navigation Documents
- Page Navigation: Use the page number input box in the toolbar, or use the shortcut
Command + Up/Down Arrowto navigate between pages. - Zoom View: Use the “+” and “-” buttons in the toolbar, or use the shortcuts
Command + Plus (+)andCommand + Minus (-). Double-click the zoom percentage in the toolbar to quickly restore to the “Fit Page” view. - Show Thumbnails: Click the “Thumbnails” icon on the left side of the toolbar (usually in the shape of a grid) or use the shortcut
Command + Tto show/hide the left thumbnail panel for macro navigation.
3. Adding Annotations and Comments
This is the core feature of KAMI, and all annotation tools are located in the top toolbar.
- Highlight Text:
- Click the “Highlighter” icon in the toolbar (in the shape of a fluorescent pen).
- In the document view area, press and hold the left mouse button and drag across the text you want to highlight.
- After selecting the highlighted area, you can change the color in the properties panel on the right.
- Add Text Comments (Notes):
- Click the “Add Note” icon in the toolbar (usually in the shape of a speech bubble or sticky note).
- Click on the position in the document where you want to add a comment, and a note box will appear.
- Enter text in the box. Once you’re done, click outside the annotation box to confirm.
- Double-click an existing annotation box to edit it again.
- Drawing shapes and lines:
- Click the “Shapes” tool in the toolbar (it may be a dropdown menu with icons for rectangles, circles, lines, and more).
- Select the shape you need (such as a rectangle, oval, arrow, or straight line).
- In the document viewing area, press and hold the left mouse button and drag to draw the shape.
- After drawing, you can adjust the border color, fill color, line thickness, and style in the right-hand panel.
4. Manage all annotations
Click the “Annotation List” icon in the toolbar (usually a list or checkbox shape) or use the shortcut Command + L to open the annotation list panel on the left. Here you can:
- View summaries of all annotations.
- Click any item in the list, and the view will automatically scroll and focus on that annotation’s location in the document.
- Right-click an item in the list to perform actions such as “Reply,” “Delete,” or “Change Status.”
5. Save and export the final document
KAMI offers two saving options:
Save the original project file: Annotations are automatically linked to the PDF and saved. Usually, you can simply close the window or use Command + S to save your progress. The next time you open that PDF with KAMI, all annotations will still be there and remain editable.
Export as a new PDF file with annotations: This is the standard way to “solidify” annotations into the PDF so they can be viewed in other readers.
- Click the menu bar
File>Export as PDF..., or use the shortcutCommand + Shift + E. - In the save dialog that appears, choose the save location and name the file.
- Click “Save”. The exported new PDF file will contain all added visual annotations and notes, and can be viewed in any PDF reader.
III. Advanced Tips for Common Features
- Batch operations on annotations: In the annotations list panel, hold down the
Commandkey to select multiple annotations, then right-click to batch delete or change colors. - Quick color switching: After setting a color for a frequently used tool (such as the highlighter), KAMI usually remembers the last used color. To quickly apply another preset color, select the tool and directly click the preset color swatch in the toolbar or properties panel.
- Precise selection and movement: When document elements are dense, use the “Select” tool (arrow icon) to more precisely click and select a specific annotation for editing or moving, avoiding misoperations.
- Keyboard navigation: When the annotations list panel is open, use the keyboard’s up and down arrow keys to move between annotations in the list, while the document view will automatically scroll to follow, making quick review easy.
IV. Common Issues and Solutions
- Issue: After opening a PDF, the annotations I previously added are gone?
Solution: Please make sure you are opening the original PDF file with KAMI. KAMI’s annotation data is usually saved in a hidden associated file in the same directory as the original PDF, or embedded directly in the PDF (if you previously chose to embed). Do not rename or move the original PDF file, otherwise the association may be lost. Try opening it in KAMI via “File” > “Open Recent”. - Issue: In the exported PDF, annotation positions are disordered or fonts display abnormally?
Solution: This is usually related to special fonts or encryption used in the original PDF. Try in KAMI, before exporting, clicking the menu bar “File” > “Print”, then selecting “Save as PDF” at the bottom of the print dialog. This method can sometimes better preserve formatting. - Issue: The toolbar or panel layout is messed up, how do I reset it?
Solution: Try clicking the menu barView>Reset ToolbarorReset View. If the problem persists, try quitting KAMI, then hold theOptionkey while relaunching, which sometimes prompts you to restore default settings. - Issue: When using the shape tool, I can’t draw a perfect circle or square?
Solution: While dragging the mouse to draw a rectangle or ellipse, before releasing the mouse, hold theShiftkey on the keyboard to force drawing a perfect square or circle. When drawing a straight line, hold theShiftkey to lock to horizontal, vertical, or 45-degree angles.
