Command (⌘) + Page Up/Down 切换页面。步骤 4:缩放与平移视图
Command (⌘) + Plus (+);缩小 Command (⌘) + Minus (-);适应窗口 Command (⌘) + 0。步骤 5:管理图层与显示选项
步骤 6:插入基本批注形状
Step 7: Add Text Annotations
Step 8: Insert Images
Step 9: Format Objects
Step 10: Adjust Object Layering
Select an object, and manage its layering through the menu bar Format (Format) > Arrange (Arrange) or the right-click menu. Choose “Bring to Front”, “Move Up One Layer”, “Move Down One Layer”, or “Send to Back” to manage the object’s front-to-back order. This is crucial when working with multiple layers of annotations.
Step 11: Save Visio Files with Annotations
To retain all annotations and allow continued editing in MS Visio, save in the original format:
Command (⌘) + S.Command (⌘) + Shift + S).Step 12: Export to PDF (for sharing or printing)
Step 13: Directly Print
Command (⌘) + P.Command (⌘) and click multiple objects to select them all, then modify the format (such as line color) in the right-side property panel. This format will apply to all selected objects. This is much more efficient than modifying each object individually.Control (⌃) + Command (⌘) + F, to enter full-screen mode, maximizing the canvas area and focusing on annotation work. This significantly reduces visual distractions.| Issue | Causes | Solutions |
|---|---|---|
| Cannot open .vsdx files, prompting file damage or unsupported. | 1. The file is indeed damaged. 2. The file was created by a newer Visio version, containing VSDX Annotator does not yet support features. 3. The file extension does not match the actual format. |
1. Try opening and saving the file in Visio on Windows. 2. Contact the file creator, try saving the file in a more compatible format (such as .vdx) or simplifying the content. 3. Ensure the file is a valid Visio drawing. |
| Text inserted displays as garbled. | The original Visio file uses a font that is not installed on the Mac system. | Select the text, then in the right-side property panel’s “Text” tab, change the font to a font installed on the Mac (such as PingFang SC, Helvetica, Arial). We recommend using system-installed fonts first. |
| After saving, annotations are not visible in Windows Visio. | Annotations may be placed on hidden layers, or the save process may have encountered an issue. | 1. Check if the layer containing the annotations is visible and saved in VSDX Annotator. 2. Ensure you use “Save” or “Save As” functions, rather than “Export to PDF”. 3. Try adding annotations directly to the main drawing page, rather than the background page. |
| The software runs slowly, with lagging operations. | 1. The Visio file is overly complex (multiple pages, many objects). 2. Insufficient available memory on the Mac. |
1. Hide unnecessary layers through the left-side panel. 2. Close other applications that use a lot of resources. 3. Try paginating editing, rather than loading all page contents at once. |
| Cannot find “Shape Data” or “Hyperlink” information. | The panels for these features may be disabled by default. | Go to the menu bar View (View) > Inspector (Inspector) and ensure that “Shape Data (Shape Data)” and “Hyperlinks (Hyperlinks)” are checked. Select a shape on the canvas, and the relevant information will appear in the corresponding inspector panel. |

Assume you receive a business process diagram in .vsdx format from a Windows colleague, and you need to review and provide feedback. Here is the complete practical workflow using VSDX Annotator:
Launch VSDX Annotator and use Command + O to open this diagram. The software will automatically parse all pages and layers. You will see a thumbnail list of all pages in the left navigation panel.
In the canvas, you find that the logic of a decision box is incorrect. Click the “cloud-shaped annotation” tool in the toolbar, drag it next to the decision box, and create a cloud-shaped shape. Then, click the “text” tool and input “The judgment condition here should be ‘order amount > 5000’, please confirm.” You can also use the “arrow” tool to point from the cloud-shaped annotation to the specific decision box, ensuring clear correspondence.
To keep the annotations neat, hold down the Command key while selecting multiple annotation shapes, then change the line color to “red” in the right property panel to highlight them. Then, use the Format > Alignment > Left Align function to align all annotation text boxes neatly.
After completing the annotations, use Command + S to save the file. The software will prompt you to either overwrite the original file or save it as a new file. To avoid damaging the original file, it is recommended to choose “save as,” for example, naming it “Business Process Diagram_Review Opinion_v1.vsdx.” Then, you can send this file via email or a collaborative platform. When the colleague opens it in Windows Visio, all your annotations will be retained and can be viewed and replied to directly.
If you need to print the review opinions for a meeting, click File > Export as PDF, choose to include all annotations, and export as a PDF file. This way, even colleagues who do not have Visio or VSDX Annotator installed can view the PDF using a PDF reader.
Through the detailed steps and techniques above, you should now be proficient in using VSDX Annotator for efficient Visio document annotations. If you encounter any issues during the download or use, please feel free to leave feedback. We will assist you in resolving any problems as soon as possible.
